Confidentiality, Privacy & Data Retention Policy


Purpose

MHC respects your family’s privacy. We handle personal information responsibly
and only collect what is reasonably necessary to deliver our services.


Confidentiality

Information shared with MHC about your child and family is treated as
confidential.


MHC will not discuss or share information about your child with anyone outside
your child’s approved contacts (usually parents/guardians), unless:

  •  You provide written permission to share with a named person (for example,
    a grandparent or another professional), or
  •  There is a safeguarding concern that may affect a child’s welfare and/or
    safety, or
  • We are required or authorised by law to disclose information.


We also ask families to respect the privacy of Guides and other families. Please do not share personal information you learn in classes or community spaces.


What information we store

We may store information required to provide our services, such as:

  •  Parent/guardian contact details

  • Child name and relevant learning/support information

  • Class/tutoring participation details

  • Support notes recorded by Guides

  • Guide notes are recorded in our online platform

  • Work Samples

  • Year in Review Reports

Data retention

Tutoring/support notes are retained for 12 months. You can request deletion earlier where practicable, unless we're required to keep it by law.  
After the retention period, information is deleted or de-identified where practicable.
